Privacy, terms and access, in plain words.

This page is the readable summary. The binding text is issued with your contract, and nothing in it contradicts what is written here. If something below is unclear, ask on the walkthrough and we will answer it on the call rather than in a footnote.

Privacy

We collect two kinds of information. The first is what you give us to make contact: your name, work email, property or group, and anything you type into the demo form. That is used to prepare and hold the walkthrough, and for nothing else. No list, no third-party advertising, no resale.

The second is what your team enters once you are using HospiCore: parcels, counts, requests, handovers, closeouts, and who did each of them. That is your operating record. We hold it so the product works, and we read it only when you ask us to help with something specific.

We do not sell either kind. We do not build advertising profiles. If you ask us to delete your enquiry, we delete it.

Your data

The record belongs to you, not to us. Three consequences follow, and they are the ones worth checking against any other vendor you are considering.

01You can export it, in full, at any time. Not a filtered report, the record.
02Leaving does not cost you your history. There is no charge to take it with you and no hostage period.
03Each property's record stays its own. A group view reads across them; it does not merge them into something you cannot separate again.

Access and security

Every person has their own login and their own clearance level. There is no shared desk account, because a record that cannot say who did something is not a record. It is a rumour with a timestamp.

Clearance is set per property. A manager at one site does not inherit another, a storekeeper sees stores, an owner sees the group. Admin sessions are logged separately from property sessions and expire sooner. Because every entry carries an author and a time, an audit is a matter of reading rather than investigating.

Data is encrypted in transit and at rest. Access by our own staff requires a reason and leaves a trace we will show you on request.

Terms of service

HospiCore is licensed per property, monthly or annually, for use by the people you authorise. You agree to keep logins to the individuals they were issued to, and we agree to keep the service running and the record intact.

Either side can end a monthly agreement with notice at the end of the period; annual agreements run their term. Ending it does not affect your right to export the record. Price changes apply from the next renewal and are told to you before it, not after.

HospiCore is an operational record, not a legal, tax or accounting system of record. It sits beside your PMS and your books rather than replacing either, and it does not take bookings or price rooms.

Service status

Incidents and planned maintenance are published to every signed-in account and emailed to the admin on the contract. If the desk cannot log a parcel, that is an incident, and it is treated as one. Floor-blocking faults come before everything else on our list.

If something is stuck right now and you have an account, sign in and the notice will be at the top of your dashboard. If you cannot sign in, reply to any email from us and a person will answer.
